Department Administrator
My Client is a globally recognised financial organization that provides financial services and products to consumers, corporations and many other institutions internationally. They are currently seeking a Department Administrator to join their growing Dublin team. The successful candidate will be responsible for the various administrative activities of a department of over 200 technologists in a fast-paced environment.

Responsibilities of the Department Administrator role:
• Collaborate with section managers in gathering information for monthly reports for site senior management
• Track and analyse monthly department headcount and space requirements, and plan accordingly
• Continuity of Business lead for the department - this entails keeping staff information up to date; participating in related calls, organising call tree tests, etc.
• Support the senior managers with processing of Statements of Work and Invoicing
• Plan and maintain the agenda and minutes, and oversee follow-up actions from the department management meeting
• Maintain records management inventory for the department; ensure teams are meeting Citi’s records requirements
• Log issue tickets for the teams as needed (printers, copiers, facilities issues, etc.)
• Manage quarterly department town hall, create agenda, gather materials with team leads
• Support the senior managers with periodic vendor reviews and other interesting projects
• Approve and track Ireland/Northern Ireland travel expenditure
• Coordinate department manager appointments, meetings, receptions and conference calls
• Coordinate & support senior management site visit
• Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system for department manager
• Tracks office supply levels and orders proactively through Procure to Pay system
• Preparation of ad-hoc reports and special project
• Maintain internal distribution lists for the teams, reviewing monthly
• Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding the company, its clients and assets
• Driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency

Required Skills and Experience for the Department Administrator role:
• Experience of working with a management team
• Competent using Word, PowerPoint and Outlook
• Experience of using Concur, Procure to Pay, or other invoicing systems will be a distinct advantage
