My client is a leading organisation based in Jordanstown/Belfast, who are currently seeking 4 experienced Support Assistants to join their team.

This is a full-time, Permanent position

(with hybrid working - 2 days in the office and flexible working)

With a salary of £21,686 - £24,174 per annum (dependent on experience)

Job Purpose:

You will be a key member of the Student Administration team, ensuring delivery on a full range of activities such as registration, enrolment, examinations, and graduations.

Essential Criteria:

• Evidence of good standard of literacy/numeracy as demonstrated by qualifications at GCSE Grade C or higher or by relevant work experience• IT proficient with solid working knowledge of Microsoft Office packages (Word, Excel, and SharePoint)• Demonstrable experience of working with a large database to input, update check and interpret data and run reports• Demonstrable experience of dealing with customer queries by phone, in person or by email

Main Duties and Responsibilities:

• As part of the back-office team, support the co-ordination of the full range of student service activities across the dual functions of examinations and registry office • Registration and enrolment processing• Being responsible for requesting, receiving, checking and preparing examination papers for each examination timetabled and the security of these papers• Servicing and supporting the online Boards of Examiners meetings including maintaining security of documents on SharePoint, processing decisions and marks within tight timeframes and with 100% accuracy• Supporting and advising staff at partner institutions in relation to these activities• Supervising temporary clerical staff within the office and providing guidance and support to new team members• Ensure the smooth operation and delivery of the Office's core business, taking responsibility for day-to-day operations and ensuring timely turnaround and dissemination of information and materials• Co-ordinating and supporting key activities on an ongoing basis such as updating student records in relation to marks, academic decisions, flagging failed modules, finance matters • Responsible for examination papers involving requesting, receiving, checking format of, ensuring sufficient copies are requested of each examination paper and preparation of papers for each examination timetabled• Liaising with Student Support and members of Academic Staff in relation to students who have reasonable adjustments in place for their examinations and ensuring that these requirements have been put in place. • Supporting examination activities, ensuring that the examinations begin on time. Dealing with any queries that the Senior Invigilator may have before the start of each exam in that venue and ensuring that all scripts are accounted for at the end of the examination and brought back to the office• Co-ordinating timescales and schedules covering the full range of activities in the office and ensuring that these timescales and deadlines are adhered to• Using the System on a daily basis to process student marks, progress decisions and awards. • Supporting financial procedures including raising and processing requisitions and invoices. Handling cash/processing payments for resit fees, replacement transcripts/certificates and postage of certificates and other charges including reconciling, banking and safe deposit of all monies.
