Project Management Officer –
Purpose of Role
The Project Management Officer reports to the site specific Project Manager, and is responsible for providing project management support for up to six projects of varying complexity, for specific sites/across sites
Duties & Responsibilities
1. Supports Cost Management
– Sets up and maintains project costs in finance systems and project management tools
– Tracks purchase requests and expenses
– Resolves cost variances and/or escalates to Project Manager
2. Prepares, analyzes, and maintains project schedules
– Assists Project Managers with the production of schedules in the project management tool and maintains revisions as necessary
– Establishes and maintains baseline project plans
– Collates activity status from project team members and updates the schedule progress
– Identifies discrepancies between planned and actual values
– Assists with the production of project status reports
3. Communicates, distributes and maintains project management documentation
– Assists with the distribution of project documentation such as the project charter, the project plan, issues and change request, risk management plan, and project status reports
– Sets up and maintains the project document repository
4. Supports project processes
– Works with PMs to prepare the project charter
– Participates in, and prepares documentation for project planning by gathering
– Assists with risk and issue management gathering data from the appropriate project team members and by maintaining logs and reporting as necessary
5. Supports the application of Project Management Methodologies and Best Practices
– Supports the Project Manager in the application of the Project Management methodology and best practices
– Provides coaching, training, and support to Project Managers, IS practitioners, and business clients, as required, on use of project management templates and tools
– Works with other PM Analysts to ensure consistency in documentation and templates, across all sites
– Serves as a consultant to project team members on all project related processes, such as charge back, invoicing, time entry, and procurement across all sites
6. Supports Project Human Resource Management
– Gather, compiles and documents the detailed project organization
– Monitors, analyzes and reconciles time entries for accuracy; works with team members to address and reconcile variances.
